Webex Events (Socio) Integration with MootUp

Webex Events (Socio) is an event technology platform that helps organizations of every size optimize their events. Founded by event organizers, the Webex Events (Socio) team believes technology should drive authentic connections and personalized experiences. Webex Events (Socio)’s event management platform comes fully loaded with all the right features to achieve particular event goals. Webex Events (Socio)’s native streaming provides features such as custom banners, logos, overlays, and backgrounds, as well as a broadcasting feature that allows you to share your preferred streaming solution by using an integration or the Webex Events (Socio) RTMP Player.

Using MootUp 3D portals in Webex Events (Socio) gives participants the choice to be virtually present and highly engaged in a gamified chat, audio and video 3D world. 3D portals can be added to many elements of a Webex Events (Socio) event, for registration, reception, live broadcasts, sessions, networking and expos. Furthermore, Webex Events (Socio) provides MootUp event organizers with a tool to help coordinate their events and interact with their event attendees through an intuitive app that can be accessed on a PC, a tablet, a smartphone, and any AR or VR headset.

MootUp 3D Dashboard

First, copy the URL for your 3D event world.

  1. On your MootUp Dashboard, click the Worlds menu. Then, click the three-dot menu icon () on your event world’s tile and a pop-up menu will appear.
  2. From that menu, select Export.

 

 

  1. An Export this World dialog box will appear. Click the down arrow () to expand the URL export panel.
  2. Click the clipboard icon to copy the World’s URL.

 

Webex Events (Socio) Event App Edit Event Menu

To create a Webex Events (Socio) event app for your MootUp event, you will need to complete the three sections in the Edit Event menu:

  • Basics
  • Features
  • Appearance

The following sections outline how to create a Webex Events (Socio) event app for your MootUp event.

Basics

In Basics, you will be required to enter the following information for your Webex Events (Socio) event app:

  • Event Details
  • Event Date & Time
  • Privacy Settings

On these pages, fields with a red asterisk (*) will need to be completed.

Event Details

On the Event Details page, add the information requested in the data fields provided:

  • Event Name
  • Event Description
  • Best email address to reach you
  • How many attendees are you expecting?
  • Pick an event type: In Person, Virtual, Hybrid

When you are finished, click the green Save button at the bottom of the page.

Event Date & Time

On the Event Date & Time page, add the information requested in the data fields provided:

  • Select Your Time Zone
  • Event Starting Date/Time
  • Event Ending Date/Time

When you are finished, click the green Save button at the bottom of the page.

Privacy Settings

On the Privacy Settings page, establish whether your event is to be public or invitation only. You can also add an event code. Your event will show up in search results and anyone with the event code can join it, although you can also select a checkbox to hide your event from search results and require the code to find the event. When you are finished, click the green Save button at the bottom of the page.

Features

In Features, you can use a selection of features to organize your event and provide information to your attendees. These features are customizable and can be edited to fit the needs of your event.

Each feature you select will be displayed in the Selected window, where they can also be rearranged. To add a feature, select the green + Add Features button. A selection of pre-formatted features will appear in a dialog box.

To edit a feature, hover your cursor over the feature and a menu will appear (see below).

In the individual feature’s menu, you can do the following:

  • Click the Edit button to add information and make changes to the feature.
  • Click the gear icon to adjust the settings of the feature, such as the feature’s title, icon, and to whom the feature will be visible.
  • Click the trash can icon to delete the feature.

Adding MootUp URL to Webex Events (Socio)

To add your MootUp URL, you will need to use the Web Link feature.

Add the Web Link feature to your app, and then click the Edit button from the feature menu. The Edit dialog box will appear (see the next page).

Paste your MootUp URL into the Link data field. Then, select the checkbox to pass Webex Events (Socio) data over to MootUp. When you are finished, click the blue Save Changes button.

Appearance

In Features, you will be required to enter images to represent your event and select a layout for your Webex Events (Socio) event app.

Images

On the Images panel, use the fields provided to upload your event’s logo and cover image. These image files can be in either the .jpeg or .png format.

Layout

On the Layout panel, you will be required to select one of three formats for your Webex Events (Socio) app:

  • Smart Feed: A layout with smart updates that shows users personalized suggestions.
  • Features Only: A minimalist layout which maximizes space for features.
  • Banners: A layout that rotates and showcases banners and drives traffic to sponsors, promotions, or any other content in and out of your app. NOTE: If you choose this layout, you will need to add banners by clicking the Manage Banners button.

When you are finished, click the green Save button at the bottom of the page.

Accessing MootUp Through Webex Events (Socio)

After creating a Webex Events (Socio) app for your MootUp event, you can share a link to it with your attendees. First, go to the Web App listing in the Webex Events (Socio) toolbar (see below).

On the Web App page, you will see a Web App Settings panel.

  • Select “Yes” under Enable Web App? and select a color for Theme Color.
  • You can also select the checkbox provided if you want to include a button that links your app to your event promotion page.
  • When you are finished, click the green Save button.

To share the link Webex Events (Socio) has generated for your app, click the Copy Link button. You can now share the link with your attendees.

When your attendees select the event link they received from you, they will be asked to select an avatar and then enter your MootUp event. Their screens will consist of a main window that shows the MootUp room where you arranged for them to arrive, and a navigation menu on the left that will allow them to move to other rooms in your event.
