Hopin for VR/AR Virtual & Hybrid Events

Hopin is a 2D event platform that uses video streaming to provide collaborative experiences that connect with and engage event attendees. At its events, Hopin arranges different areas that attendees can visit and interact with in ways that are similar to areas provided at an in-person event (e.g., keynote speeches, panel discussions, etc.). Hopin also allows attendees to enjoy imagery and video content, as well as make connections with presenters and other attendees.

Using Hyperspace Metaverse Portals in Hopin launches event experiences into a whole new dimension, giving participants the choice to be virtually present and highly engaged in a gamified chat, audio and video 3D world. Hyperspace Metaverse Portals can be added to many elements of a Hopin event, for registration, reception, live broadcasts, sessions, networking and expos.

When attendees enter any Hyperspace Metaverse Portal, they will be permitted to move to any part of your virtual event world whenever they please by using the Locations menu.

When creating a Hyperspace Metaverse Portal, we recommend that you set the landing space of your Event Metaverse to a single-user space (with the Virtual meeting feature disabled) ahead of your event. This will allow users to explore promotional content and familiarize themselves with using their own avatar in the space while avoiding the need for any moderation. Furthermore, communication between users can be disabled.

Known Limitations: Hopin does not support providing a user’s identity to embedded content. Therefore, users must supply their names (and optionally their email addresses if you wish to track that) when entering the Hyperspace Metaverse Portal.

Hyperspace Metaverse Dashboard

First, copy the URL for your Event Metaverse.

  1. On your Hyperspace Metaverse Dashboard, click the Worlds menu. Then, click the three-dot menu icon () on your event world’s tile and a pop-up menu will appear.
  2. From that menu, select Export.

  1. An Export this World dialog box will appear. Click the down arrow () to expand the URL export panel.
  2. Click the clipboard icon to copy the World’s URL.

Login to the Hopin virtual events platform.

Hopin Registration

As part of best practices, you can include your Hyperspace Metaverse Portal on the Registration page of your Hopin event to:

  • Engage users with resources in a 3D environment.
  • Capture users’ names, interests, and (optionally) email addresses.

The registration page is available before people sign up for your event.

  1. On the Hopin navigation menu, click the down arrow to expand the Setup drop-down menu.
  2. From the menu, select Registration.
  3. In the About panel, click the insert media icon ().
  4. In the dialog box that appears, paste your Event Metaverse world URL in the data field provided.
  5. When finished, click the green check icon.
  6. Click the Save button at the bottom of the page.

After saving your Event Metaverse world URL, you can preview the event to see the interactive Hyperspace Metaverse Portal in the registration page. The Hyperspace Metaverse Portal you saved should appear under your event’s banner (see the next page).  

Expert Tip: Hopin allows you to use animated GIFs for a Registration page image. Adding eye-catching animated images for the background (hero image) for your registration page will help to keep attendees curious and engaged.

Hopin Reception

The Reception page is where attendees arrive when your Hopin event goes live. We recommend adding a reception space to your Event Metaverse world as well, so that attendees can begin exploring your Event Metaverse. To link the 2D and 3D event reception spaces, copy the link to your Event Metaverse world reception space from your browser by entering your Event Metaverse world and then visiting the reception space.

  1. On the Hopin navigation menu, click the down arrow to expand the Venue menu.
  2. From the menu, choose Reception.
  3. In the Welcome Message panel, click the insert media icon ().
  4. In the dialog box that appears, paste your 3D event world reception space URL in the data field provided.
  5. When finished, click the green check icon.
  6. Scroll down and click the Save button at the bottom of the page.

After saving the URL for your 3D event world reception space, the attendees will see it in the Hopin Reception page (see the next page).

Hopin Stage

Live streaming allows you to output a video stream of an Hopin event that is taking place on the Stage page. The video stream can be displayed within a 3D environment for attendees to watch on a separate platform. However, an additional service is required to convert the outbound RTMP stream from Hopin into an HLS video stream that can be used in 3D. To set up the live streaming of a Hopin event, follow these steps: 

  1. On the Hopin navigation menu, click the down arrow to expand the Venue drop-down menu.
  2. From the menu, choose Stage.
  3. From the Stream provider drop-down menu, choose Hopin.
  4. In the data fields in the Simulcast panel, add your custom stream name, URL, and key code provided from the streaming service you selected (e.g., Wowza).

  1. In the Additional information panel, click the insert media icon ().
  2. In the dialog box that appears, paste your 3D reception space URL in the data field provided.
  3. When finished, click the green check icon.
  4. Scroll down and click the Save button at the bottom of the page.

When you start simulcasting, event attendees will have two options available to watch your live stream. They can either watch the stream as it comes in on the Stage page, or they can click the stream panel and use the menu that appears to zoom into whenever they want on the stream panel.

Hopin Sessions

Hopin has a Sessions feature that can be used for interactive roundtables, interviews and workshops. Sessions that are held in a 3D environment on a different platform allow the sessions to go beyond Hopin’s limits. For example, Hyperspace Metaverse can host up to 250 participants with audio chat and 50 with video streaming.

To set up an expanded session event, follow these steps:

  1. On the Hopin navigation menu, click the down arrow to expand the Venue drop-down menu.
  2. From the menu, choose Sessions.
  3. On the Sessions page, choose Invite Only from the Who can participate drop-down menu.

  2. In the dialog box that appears, paste the URL of the 3D workshop space in the data field provided.
  3. When finished, click the green check icon.
  4. Scroll down and click the Save button at the bottom of the page.

Hopin attendees will see the 3D session space and be able to interact with all other attendees present on the 3D platform.

Hopin Networking

Although Hopin includes a 1:1 video chat feature for networking, we recommend an alternative approach that uses a 3D environment where a user can choose to communicate with avatars, text chat, audio or video. In this case, we suggest that you do not enable the Hopin networking feature and instead include networking through a Hopin Session page.

To do this, configure a Sessions page as shown in the previous section, but instead connect it to a 3D environment that is preconfigured with spatial audio zones and seating areas where people can network 1:1 or in groups if you choose.

Hopin Expo

Hopin also has an Expo feature, which can be configured to provide access to an expo space in a 3D environment. Adding an expo booth to your venue will allow attendees to engage with you and your representatives at any time during your event. Expo booths in MootUp can be private audio zones where people who enter can either speak amongst themselves or with your representatives.

To set up an 3D expo space in Hopin, follow these steps:

  1. On the Hopin navigation menu, click the down arrow to expand the Venue drop-down menu.
  2. From the menu, choose Expo. The Expo page will appear.
  3. In the Additional information panel, click the insert media icon ().
  4. In the dialog box that appears, paste the URL of the 3D expo space in the data field provided.
  5. When finished, click the green check icon.
  6. Scroll down and click the Save button at the bottom of the page.

After configuring the Expo feature in Hopin, users will be able to access your 3D expo space by:

  1. Clicking the expo icon on the left side of the page.
  2. Clicking the 3D expo window that appears. Users will then be given access to your 3D expo space.
